Job Summary

Our clients are excited to invite an Administrative Assistant to be part of  their awesome team. The Administrative Assistant will play an important role in supporting the investigator team in the Quebec City office. The person will be responsible for preparing and/or creating various reports and correspondence, assisting with invoicing and other duties as requested.

General Responsibilities

  • Provide support in the management of all documents related to investigation, notes, letters, summary, technical report
  • Be the point of contact for clients and visitors, greeting clients, answering and transferring calls and providing administrative support when necessary.
  • Provide administrative coordination and support to investigators
  • Support staff in various administrative tasks
  • Enter expenses into projects as necessary (subcontract fees, storage fees, etc.)
  • Track the investigator’s ongoing work
  • Invoice clients according to agreements and track projects
  • Perform other general office duties such as faxing documents, scanning, photocopying, filing, etc.

Requirements

  • Diploma in secretarial or administrative studies combined with 2 years experience in a similar position
  • Experience in professional services (lawyer, engineering, accountant, etc.)
  • Excellent command of French and English (oral and written)
  • Good computer skills and advanced knowledge of the Office Suite
  • Experience in report writing (English and French)
  • Resourcefulness and ability to work in a team with strong interpersonal skills. Ability to communicate, plan, coordinate, manage time and excellent organizational skills
  • Optimism, positivism, resilience and ability to adapt.
